Honeycomb is partnering with a dynamic PR & Communications company to recruit for an Office Manager to join their busy office based in Belfast city centre. The role is full time and permanent and comes with excellent opportunity for growth and development.

The Role

The role of Office Manager is an integral position within the company and will be a wide and varied position supporting the day to day operations in a fast paced environment, as well as providing support to the MD and Director. With year on year growth, this role comes with potential for development, and is an ideal opportunity to take ownership of the role and help propel the growth of the business. Typical duties will include:

Office Operations

  • Attending weekly office management meeting with MD and Directors.
  • Manage all office supplies with a focus on efficiencies and smooth running of offices in Belfast and Dublin
  • General administration - scanning, photocopying, filing, clippings, confidential shredding, incoming goods and courier providers, daily mail distribution
  • Arrange all Managing Director and Director travel/hotel requirements, plus wider team arrangements when required
  • Event management support
  • Manage client and internal practice meetings at Belfast office including room preparation, AV and refreshments
  • Produce a range of relevant practice minutes, documents, proposals and reports
  • Management of all practice marketing and print materials and regular liaison with suppliers
  • Assistance with tender applications and pitch presentations including practice credentials documentation, insurance etc.
  • Management of IT service contract, plus other suppliers where required

HR Administration

  • Responsible for recording and actioning absence management procedures.
  • Coordinating and approval of staff leave
  • Scheduling staff Performance reviews
  • Ensuring staff are aware of the Employee handbook
  • Liaise with HR provider

Finance

  • Practice financial management including management of client and supplier invoices, receipts and expenses - usage of Xero
  • Work in cooperation with the company's external accountants to update practice accountancy software system (Xero - training will be provided at outset of role, if necessary), produce the trial balance, monitor financial work in progress and running the monthly payroll, quarterly (NI) and bi-monthly (RoI) VAT returns and any additional financial requirements
  • Managing the purchase and sales ledgers, bank reconciliations and managing cashflows for Belfast and Dublin operations
  • Management of credit control

Essential Criteria

  • Experienced Office Manager or Office Coordinator in a Professional Services environment
  • Excellent IT and systems skills
  • A self starter and someone who can work on their own initiative
  • Exceptional organisational skills with the ability to multitask and prioritise tasks effectively
  • Strong attention to detail and accuracy
  • Ability to maintain confidentiality and discretion when handling information

  • Salary for the role is £28 - £35K depending on skills and experience.
