Honeycomb has partnered with a charitable organisation in the recruitment of a full time, Executive Support Assistant, based in their offices in Belfast at £28,000 - £30,000.
What do we need from you?
- Must have an understanding and comprehension of the values of the Catholic church
- 2-3 years' experience in a similar administrative support role with the ability to demonstrate sensitivity and confidentiality
- Excellent communicator and interpersonal skills
- Working knowledge of MO packages, experience using document management systems
- Time-management and organisational skills, ability to multi-task
- Strong proactive skills, ability to prioritise workload
- Ability to handle sensitive information, strong confidentiality and attention to detail

The Organisation
This is a fantastic opportunity to be part of an organisation that focuses on providing support to their surrounding community. You will be dealing with new and exciting enquiries daily, assisting the senior management team in the smooth running of their services, events and daily commitments.
What would a typical day look like for you?
This is a key role within the organisation, where you will become a valuable member of the team! Some main responsibilities include:
- Providing PA support to the senior management team
- Point of contact for enquires via phone, emails and screening incoming calls, responding where appropriate, facilitating sensitive calls and managing correspondence
- Maintaining personnel files and managing information flow
- Organising itinerary, effective diary management, prioritising appointments on behalf of senior management
- Preparing meeting agendas, setting up rooms in person & online, booking and providing relevant documentation for both internal and external meetings, occasionally taking notes, scheduling follow ups as required
- Support in the research and preparation of information e.g. presentations, reports, proof reading documents for print
- Manage all post, draft and sending out letters/emails
- Up-keeping the office space, ordering supplies and stationery as needed
- Maintaining databases, storage and security of all confidential data
- Adhere to GDPR, maintaining a high level of confidentiality at all times
