Honeycomb Jobs is delighted to be working with a charity sector client, to recruit a temporary full time Administrator based in Belfast.

The Client - Our charity sector client is the oldest charity in Belfast and has been in operation since 1752. The organisation was established to address poverty and disadvantage in its many guises and continues to do so.

The Role - Is to provide high quality administrative assistance with the opportunity to gain experience in the charity, events and heritage remits. The Administrator would report to the Corporate Services Manager.

Duties will include but will not be limited to:

  • To act as the first point of contact for clients and visitors to the building, providing a courteous welcome; directing guests to meeting or conference rooms as required and advising staff members of arrival of visitors.
  • To answer telephone queries, gaining as much information on the nature of the call prior to transferring to the appropriate department or staff member.
  • Ensure messages on telephone system monitored on a daily basis.
  • Co-ordination of event and tour / talk enquiries using enquiry sheet, ensuring appropriate follow up and / or confirmation of booking and liaising with clients to ensure terms and conditions are adhered to.
  • Event and tour / talk planning including co-ordination of catering requirements, room set up detail, volunteer co-ordination for tours / talks, sign in sheets as required and merchandise sheets for tours / talks and any changes to same prior to event or tour.
  • To act as point of contact on the day including welcome for event clients.
  • Follow up for events, tour / talks with evaluation sheet and invoice.
  • Input of tour numbers and tickets sales income from Visit Belfast sales platform on a weekly basis.
  • Recording of volunteer hours on a weekly basis.
  • Reconciliation of cash and PayPal payments for merchandise, donations and any other sales items.
  • Regular stock take of merchandise.
  • Ensure team meetings are recorded, and actions circulated to all staff.
  • Ensure all physical and electronic filing is actioned and all databases are always kept up to date.
  • Ensure essential levels of stock are always maintained for the efficient operation of the business.
  • Work closely with other members of the team to ensure the smooth operation of the office including the need to ensure cover during office hours.
  • Deliver a great customer service experience, acting in a professional and understanding manner when liaising with internal and external stakeholders.
  • Undertake any other reasonable duties as required.

The Person

As the successful candidate you will have the following background and experience:

Essential:

  • Minimum of two years' experience working in a busy administrative role or environment.
  • Excellent literacy and numerical skills, with at least GCSE C in English and Maths.
  • Proficient in the use of Microsoft Office packages, particularly Word and Excel.
  • Excellent communication skills.
  • Experience of delivering high levels of accuracy and attention to detail.
  • Demonstration of strong planning and organisational skills.
  • Experience of working on own initiative and working collaboratively as part of a small team.

Desirable:

  • Experience of maintaining online booking systems.
  • Experience of working or volunteering within a heritage/visitor attraction.
  • A demonstrable interest in heritage.
